Job Description

RESPONSIBILITIES

Receptionist tasks

oAnswering and transferring all incoming calls properly and relevant person (in English & Vietnamese);

oGreeting customers when they enter the building and extending professional assistance, when necessary,

oKeep the reception area and shared area clean & neat;

oSupervise Cleaner Job to ensure all tasks done and office area cleanliness;

oSupporting Preparing office party;

oSupporting other departments and other task as require from BOD;

oMake sure reception counter available during working time 9am - 6pm including lunch time.

Admin tasks

oOversees and administers the day-to-day activities of the office.

oManage company documents by sorting, filing, and delivering office memos, mail or other documents

oHandle all incoming and out-going mails/ correspondences, couriers (both domestic and international)

oHandle company executives with administrative tasks such as offices supplying, stationary photocopying, scanning, printing, replacing ink toner/ fixing printers), and bike parking management.

oPrepare reports to help track company expenses and budgets

oHandling taxi cards and taxi expense reports;

oOrder stationary for office, stationary, sale sheet, catalogue, paper bags and place orders when necessary;

oOrder drinking water; Manage pantry stock/ toiletry; Manage sales sheet;

oPurchase & manage office facilities/services/equipment (USB, HDMI cable, );

oWork with maintenance team to ensure all equipment, machines, air con in office work well, office clean and professional;

oReplace ink toner/ fix printers;

oHandling all incoming and out-going mails/ correspondences, couriers (both domestic and international);

oArrange flowers for office and for customer's events;

oMake payment request for all related tasks;

oManage office license and notary license;

oBooking hotel, fights, cars for back office, Sales Team and BOD;

oManaging the occupancy of the meeting rooms with beverage;

oManaging the occupancy of BBC upstairs Bar;

oOther requested by Finance manager, BOD

PERSONAL SPECS

BA - College degree of English/ Business Administration or relevant degree

Good at MS Office

0- 1 years in administration

Customer focus

Good at English
