We at NKG Vietnam work closely with the local people in the coffee producing areas and buy the green coffee materials directly from the farmers, producers, collectors and suppliers. In our factory we can process more than 35 different exportable qualities. We are able to cater for special client wishes. This includes creating qualities according to specific client requirements: a selected screen size with a chosen percentage of black and broken beans, foreign matters, Excelsa beans and a special percentage of moisture can be delivered without problem. Our main focus is to satisfy our clients with upgraded and special qualities.

For our group company, NKG Vietnam, we are looking for an Administration staff.

The position will be based in Long Thanh, Dong Nai and report directly to Admin Manager.

Your Responsibilities

Reception tasks:

  • Manage in-out calls, connect calls to respective persons.
  • Filing, mails sorting, organizing courier service for pick-up and delivery.
  • Manage meeting rooms and arrange internal/external meetings properly.
  • Monitor all office equipment and facilities like lights, fax, printers, air-con, chairs, carpet, glass-door etc., to make sure the smooth running, call vendor if having any problem or out of order.
  • Chairs & carpet cleaning control.
  • Courier documents & packages with post.
  • Office facilities maintenance/ repairing.
  • Manage all issues relating to guards: in-out, guests, trucks, visitors controls,.
  • Control water machines in all position, replace/maintenance core filters: Quality room, mill factory,.
  • True copied necessary documents for company

Cars:


  • Company's cars expense control: petrol, maintenance, tolls fee, parking fee, etc,.
  • Control of using cars: arrange drivers with schedule daily and for guests if any.
  • Control/handling if any problems happen with buses and cars.
  • Taxi control: using taxi card, invoice, payment.

Orders & payment:


  • Purchase and manage stationery monthly.
  • Purchase and manage labor equipment such as: mask, uniform, gloves, safety shoes, periodically. Regularly distribute Personal Protective Equipment to new and old workers.
  • Assist in tabulation of monthly summaries administrative expenses monthly & payment: telephone & card usage, tree caring, EMS, DHL, Kana, security, rental car, power, Internet, living & hazardous garbage, lunches, living water, drinking water, print cartridges, taxi, hotels, flight tickets.
  • Order lunches & manage all related issues in canteen with service providers.
  • Follow and order equipment not regularly: letterhead, flags, Tet gifts, flowers, fruits, notice boards, name cards,

Guests & expats.


  • Prepare itinerary, air ticket, & pick-up car booking with drivers,
  • Arrange accommodation and hotels in HCMC and upcountry.
  • Prepare food, lunches, coffee, snacks.. for guests
  • Register residence card, work permit, visa & others expatriate-related documents.

Your profile


  • University or college in Administration or a related field, or equivalent qualification.
  • English and Vietnamese languages in both written and spoken
  • Excellent communication and interpersonal skills
  • Good collaboration and teamwork
  • Willingness to learn and support others
