RedFern Digital is seeking an Administrative Assistant to join our international team to cultivate and support our clients.

RESPONSIBILITIES
i.Assist in drafting, reviewing, and finalising contracts, ensuring accuracy and compliance with company policies and legal requirements.
ii.Maintain organised records of contracts and related documents.
iii.Generate and send payment requests accurately and in a timely manner.
iv.Coordinate with accounting department and external clients/vendors to issue invoices & resolve any billing discrepancies.
v.Support financial operations, including budget tracking, expense reporting, and reconciliation.
vi.Assist in preparing financial documents and reports as needed.
vii.Facilitate the process of registering products with relevant authorities and vendors, ensuring compliance with regulatory standards.
viii.Assist in trademark registration processes, including documentation preparation.
ix.Working with logistics partners to support import/export activities.
x.Ensure compliance with import/export regulations and procedures.
xi.Serve as a primary point of contact for vendor communications, including inquiries, orders, and issue resolution.
xii.Build and maintain strong relationships with vendors to facilitate smooth operations.
xiii.Conduct online research to gather relevant information, materials, and resources as required for various projects and initiatives.
xiv.Compile and organise research findings into clear and concise reports.
Requirements:
i.Bachelor's degree in Business Administration, Finance, or related field preferred.
ii.Proven experience (3 years) in administrative support roles, preferably in an agency.
iii.Strong understanding of contracting, invoicing, financial processes, and regulatory compliance.
iv.Excellent organisational and time management skills, with the ability to prioritise tasks effectively.
v.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Docs.
vi.Excellent communication skills, both written and verbal, with the ability to interact professionally with internal and external stakeholders.
vii.High level of attention to detail and accuracy.
viii.Ability to work independently with minimal supervision and as part of a team.
ix.Fluency in English and Vietnamese languages required.
