Role Description
This is a temporary contract and on-site Business Support role at Watsons Vietnam located in Ho Chi Minh City. This position provide secretarial and administrative support high level executive to the Business Director.
Key Responsibilities
1.Performing general secretarial duties:
Schedule control for Business Director
Support to check documents for management's signatures.
Coordinating meetings, appointments, and travel arrangements for the Business Director as well as for visiting guests and preparing all logistics/visa for Regional visits, Management's performance review, etc.
Support to arrange the company car & driver timesheet, telephone, apartment, flight ticket monthly.
2.Monitoring non-trade procurement & legal clearance & Compliance:
Follow/remind users on non-trade agreements/memo/bidding/tendering/Annual supplier Evaluation & keep tracking monthly.
Gate keeper for all company agreements.
Update legal summary report
Support on Supplier Due Diligence Screening for new users & create new account via Group's system, keep track for pending suppliers.
Other tasks are assigned by line managers
Qualifications
Good organization, coordination skills, ability to multi-task with great follow-up skills
Highly detail-oriented and careful
Good communication skills in both written and oral English and Vietnamese
Good working knowledge of computer software, especially power point
Reliable & treats confidential info with high sensitivity
Minimum 1 years of relevant experience (personal assistant/business/admin assistant)
