Job Description

As the VN Office Administration, you will serve as the primary point of contact for all matters concerning personnel and office environment at our HCMC office. Reporting directly to the Global Office Operations Manager, the ideal candidate will demonstrate the ability in handling a diverse range of responsibilities including receptionist duties, event management, HR support tasks, and overseeing vendor relationships such as food services, cleaning, maintenance, and Skedulo supplies. A professional demeanor and strong customer service orientation are essential attributes for success in this role.

Your role entails creating and maintaining a conducive and enjoyable working environment for our employees. You will be responsible for managing vendors and contractors associated with office operations, ensuring seamless services that support team productivity. Additionally, you will be prepared to handle any emergencies that may arise, ensuring minimal disruption to daily operations.

Responsibilities

Reception

  • Be available to answer & direct calls, greet and direct visitors and vendors, receive deliveries and catering.

Office Operations

  • Maintain office efficiency by planning and implementing office systems, layouts, and equipment procurement.
  • Manage IT assets & ensure meeting rooms are always online, troubleshooting as necessary.
  • Manage office supplies inventory and place orders as necessary.
  • Ensure the office is well-maintained, clean, and organized at all times.
  • Coordinate with building management for facilities-related issues.

Employee Onboarding & Experience

  • Bring a creative and fun element to our office by organizing office events that align globally.
  • Make new employees feel welcome; organize new hire packs, prepare workspaces.
  • Decorate office for events throughout the year.
  • Be a part of the Culture Committee team that drive employee engagement and foster a positive work environment.

Vendor Management

  • Coordinate and manage relationships with vendors, ensuring timely delivery of services and supplies.
  • Negotiate contracts and agreements with vendors to optimize costs and services.

Travel Management

  • Book and manage travel for staff in our Vietnam office and for Skedulo visitors to the Vietnam office.

Health and Safety Compliance

  • Implement and maintain health and safety protocols.

Special Projects

  • Manage ad-hoc special projects.

Minimum Requirements

  • Experience as an Office Administration, Receptionist, EA or Operations Assistant in a fast-paced, demanding environment.
  • Strong communication skills, high attention to detail & a proactive approach to work.
  • Entrepreneurial mindset and spirit: we win as a team, we move fast and we get things done.
  • Proficiency in word processing, spreadsheets, slides, calendaring and scheduling tools.

Preferred Requirements

  • Experience in a startup environment with tools like G-suite & Slack.
  • Experience in hospitality & event management industries.
