Job Description

We are a company invested from Singapore, specializing in supplying pharmaceutical products and medical equipment. We are looking for an Office Assistant working in Ho Chi Minh City.

The office assistant provides vital support for entire office, so we're currently seeking someone exceptional for this role. The ideal candidate will be a problem-solver who has excellent communication skills and impeccable attention to detail. This person should have experience working in an office environment, performing administrative tasks, and providing support to coworkers. The ability to multitask, manage complex schedules, and meet changing deadlines is essential for the position.

Responsibilities

  • Keep the office clean, maintain office discipline and culture;
  • Perform general administrative tasks, such as answering and directing phone calls; handling email, faxes, files, meeting minutes, mailings, and deliveries; arranging appointments and coordinating meeting-room calendars;
  • Order office supplies, stock supply stations, and ensure equipment is operable;
  • Provide ad hoc support to staff members and departments, including organization of on-site and off-site team events;
  • Support the sales department to perform sales tasks such as: sending updated product list to customers, then follow up with providing quotation to potential customers;
  • Customer care: regularly making phone calls to update stocks and sales status, send gift/greeting cards to customer
  • Preparations for sales contracts, shipment plans, export documents, payments schedule and follow up tightly;
  • Maintain filing system, contacts database, employee lists, and inventories, etc.
  • Serving as the first point of contact for guests, employees, job candidates, and vendors
  • Handling basic bookkeeping tasks like invoicing, vouchers, receipts, etc.

Qualifications

  • Experience in accounting and coordinating budgets and expenses
  • Experience in working Pharmaceutical is plus
  • Must be English proficiency
  • Experience in preparing import/export documents
  • Knowledge of administrative and clerical procedures
  • Organizational skills
  • Proficiency with office software like Microsoft Office Suite
