SCOPE OF WORK
- Under the guidance of the Head of Sales and within the limits of hotel policies and procedures, oversee and direct aspect of the sales department at Southern of Vietnam area for Hoiana Resort & Golf
- Responsibilities includes, but not limited to pre-opening and day-to-day sales and administration efforts of all personnel in the Sales department, with specific responsibility for directing sales, team building, training and implementing action plans set forth in the business plan.
KEY RESPONSIBILITIES AND ACCOUNTABILITIES
Sales Activities
- Seek and develop new potential accounts through direct enquiries, sales leads from Southern of Vietnam, sales blitz follow-up, telemarketing exercise.
- Identify business opportunities with business partners, especially the travel agencies & corporate companies.
- Assist, formulate and develop the annual room revenue, room night goals and business plan.
- Develop a sales strategy and plan by analyzing historical, current and future hotel/market trends.
- To assist in establishing and implement rate strategies for all market segments, create selling strategies to capture the maximum amount of revenue.
- Solicit new business opportunities from international operators, travel agents and wholesalers through sound business practices.
- Prospect from various sources to expand account base.
- Nurture to maintain existing client relationships to ensure repeat business.
- Demonstrate professional presentation skills at industry trade shows, sales events, and networking functions.
- Conduct sales calls (sales visit) as indicated by the sales plan and report on daily basis.
- Communicate all client information to the appropriate departments via site visit notification emails and conduct pre-arrival internal meetings, when necessary,
- Prepare weekly or monthly activity and production reports.
- Research to modify existing or develop new wholesales contracts as needed based on hotel and/pr market conditions.
- Recommend and coordinate deployment of any promotions as may be necessary.
- Work with the sales team to develop marketing strategies for the assigned segment.
- Attend and potentially present information for internal and external meetings as assigned.
- Train, supervise and conduct reviews of the sales executive position.
- Other duties and responsibilities may be assigned.
- Coordinate customer requirements with other departments to achieve maximum guest satisfaction and profitability for the hotel.
- To main a portfolio of hotel's top accounts and ensure that maximum room nights are achieved and implement action plan for such clients.
Meetings
- Attend weekly sales meeting.
- Attend and co-chair the weekly Group Resume meeting.
- Attend monthly Review Meeting.
Entertainment and Site Inspection
- Entertain individually or joint entertainment with Sales Manager to Senior Executives and Secretaries of potential corporate companies and in-house guests to maintain good client relationship and to ensure future business to hotel.
- Participate in Familiarization visits and entertainment as and when required.
Standard Task Weekly or Monthly Report
- To submit the following reports to General Manager:
- Weekly sales call plan via Opera Sales and Catering
- Weekly complete activity and to do detail report
- Monthly Sales month end report
- 3 months forecast reports
- 3 Months forecast report by market segment
- YTD room revenue by market segment report
- 3 months action plan
Administration
- Ensures that the Opera Sales and Catering system is always utilized effectively. This is including account, booking management, sales activity updating, tracing room block review and generating of sales related reports etc.
- Ensures that all out-going and internal correspondence so conducted by the Sales team is of quality and standards set by the department and the management.
- Ensures the departmental procedures, policies and service task are followed and practiced by all staff.
- Promote a one stop shop concept for events business to clients.
- Maintain all clients file confidentially accordingly to the standards set in the department.
- Ensuring all sales collaterals are updated and replenished.
Promotions
- Take responsible in development of promotion of any packages to achieve incremental revenue for the hotel in the corporate, long stay and travel trade market segments.
Other standard responsibilities
- Ensures maintain an update awareness of hotel product knowledge, current promotion, policy changes and appropriate internal communications.
- Provide honest and appropriate feedback for the performance, appraise of subordinates and self.
- Effectively communicates guiding principles and core values to all subordinates.
- To establish and maintain an effective working relationship within the department and with all other department in the hotel.
- Maintain the highest standards of professionalism, ethics and attitude toward all hotel guests, clients and associates.
- Maintains professional business confidentially.
- Fully responsible for recording and maintaining accurate room rates and guest's preference.
- Performs any additional duties as assigned.
- Ensure always provide a courteous and professional service.
