Job Summary

Senior Tender Specialist is responsible for coordinating and managing tender processes for medical and pharmaceutical products, working closely with partners, healthcare facilities, and internal teams to ensure timely and accurate submission of bids. This role involves handling product listings, providing technical support, and managing relationships with suppliers and stakeholders.

Key Responsibilities

Collaborate with Partners and Healthcare Facilities to Plan Tender Participation

  • Work closely with partners and healthcare institutions such as the Department of Health, hospitals, and clinics to develop comprehensive tender participation plans. Ensure that all tender requirements from healthcare providers are fully understood and met.

Finalize Tender Product Portfolio

  • Oversee the completion of the product portfolio for tenders, ensuring that all product-related documents (e.g., technical specifications, legal documents) are properly prepared and submitted on time.

Support Sales Team and Coordinate with Partners

  • Provide assistance to the sales team during the planning and procurement phases for healthcare institutions. Coordinate with partners to ensure that product information is accurate, complete, and compliant with tender specifications.

Address Customer Inquiries

  • Respond to customer inquiries regarding product details, technical specifications, benefits, and tender-related questions, ensuring clear and accurate communication.

Prepare Work Reports

  • Develop and submit weekly and monthly work plans and reports as per management's direction. Ensure that all reports related to tender activities, procurement, and sales performance are comprehensive and accurate.

Execute Additional Tasks as Assigned

  • Perform other tasks as assigned by the Management and Department Heads, ensuring that targets and responsibilities are met efficiently.

Manage Supplier List

  • Maintain and manage the list of current suppliers, working closely with them to assess product quality and capabilities. Track weekly and monthly sales performance and generate periodic reports on the effectiveness of supplier partnerships.

Source and Build Plans with New Suppliers

  • Collaborate with the business development team to identify and evaluate new suppliers. Ensure that the process of sourcing and evaluating new suppliers is regularly updated to meet the company's tender requirements.

Skills and Qualifications

Education:

  • Bachelor's degree in Pharmacy (preferred) or related fields such as Accounting, Finance, or other relevant disciplines.

Experience:

  • At least 3 years of experience in tender management, procurement, or sales in the healthcare, pharmaceuticals, or medical device sectors.

Technical Skills:

  • Proficiency in Microsoft Office Suite (Excel, PowerPoint) and other tools for reporting and data analysis.

Communication Skills:

  • Strong interpersonal skills with the ability to build and maintain positive relationships with partners, clients, and colleagues.

Industry Knowledge:

  • Established relationships with healthcare facilities (hospitals, clinics, Department of Health) to support and drive tender and sales activities effectively.

Additional Qualities: Strong organizational skills with attention to detail and the ability to handle multiple tasks simultaneously, Ability to work under pressure and meet tight deadlines. Strong problem-solving skills and the ability to provide creative solutions in tender processes.
